The Calm Ops method
My approach to automating operations with AI. I start by listening to your team and mapping the processes, then cut what isn't needed, automate, train people and report back in hours saved.

Six steps
We set timelines after the consultation, once I know your processes and systems. Click a step to open it.
I talk to the people who actually do the work and find out what they'd call routine.
- You get
- A list of the tasks that eat the most time.
- Your time
- 2–3 conversations.
What I hear in those conversations
- “I copy every lead from email into the CRM”
- “I pull the client report together from three files”
- “I never know if someone has already replied to the candidate”
I draw one map of who does what, in which system and how long it takes.
- You get
- A process map that shows where the hours go.
- Your time
- One meeting to check the map.
A sample process map
- Job applications6 h a week, recruiter, Gmail
- Client report4 h a week, account manager, Excel
- Invoices3 h a week, finance, Xero
Before automating anything, I cut extra steps and duplicated work out of the process. There's no point automating a mess.
- You get
- A leaner process that's ready to automate.
- Your time
- We sign off the changes together.
Before and after
I build automations in n8n, Make and Claude, with AI agents, and connect them to your systems. Every automation has a Human Gate, where a person approves anything involving money or people.
- You get
- A working automation on your own data, starting with one process.
- Your time
- You test it and tell me what to change.
A sample automation
- New job application
- AI agent reads the CV
- Human Gate: the recruiter decides
- Candidate record in the CRM
I show the team how to use it and leave proper documentation behind.
- You get
- A team that knows how it works and isn't afraid of it. The documentation and logins stay with you.
- Your time
- One or two sessions.
What stays with you
- Documentation for every automation
- Access to every system
I count the hours saved and how many people actually use the automation. Then we move on to the next process.
- You get
- A report in hours and a plan for the next step.
- Your time
- 15 minutes to go through the report.

From Excel to CRM without the copy-paste
The agent moves rows from the spreadsheet into the CRM and clears out duplicates on its own. Decisions about people wait for you at the Human Gate.

Your Monday at 8:00
The agents work overnight. In the morning you get one message, with two decisions waiting for you.
Tap a button in the message. Here, you're the Human Gate.

Morning! Over the weekend: 34 new candidates added, 12 interviews confirmed, and the client report has gone out.
Questions people ask before booking
Can't see yours? Ask it on the call.
Will AI replace my staff?
No. I automate moving data, reminders, drafts and reports, and set up the operational processes behind them. People still make the decisions about money and staff, and your team gets time back for the work clients pay for. I don't take on projects aimed at cutting jobs.
How much does it cost?
The consultation is €45 for 30 minutes, and it comes off the implementation price. An audit and implementation depend on your processes and systems, so I quote them after the consultation. The price is fixed before any work starts.
Is it worth it for a sole trader?
Yes, if invoices, messages, client bookings and paperwork take up at least a few hours of your week. In the consultation I'll tell you what can be automated quickly and cheaply.
Is our data safe?
I work in line with the GDPR and use AI models that process data in the EU and don't train on it. The automation platform, n8n, can run on your own server. You grant access, and you can revoke it at any time.
What about AI in recruitment and the EU AI Act?
I automate candidate emails, interview scheduling, paperwork and keeping systems in sync. If AI helps assess candidates, the recruiter always makes the call, and we check the legal requirements together before launch.
What if something breaks or changes?
Every automation is documented and belongs to you. With ongoing support I keep an eye on changes in your systems and update the integrations before anything breaks.
Do we need our own developer?
No. You get documentation and training, and your team can handle simple changes itself.
How long does implementation take?
It depends on the process and the systems. We set the timeline for each stage after the consultation.
Which languages do you work in?
English, Polish and Ukrainian. I work remotely with teams across Poland and the EU.
Which tools do you work with?
HubSpot, Google Workspace, Jira and Confluence, Power BI, n8n, Make, Claude, OpenAI, Gemini and anything with an API. I look at others during the consultation.
